Abstract

In Spring 2024, Loyola Marymount University’s William H. Hannon Library transitioned from Expert Gallery Suite (EGS) – SelectedWorks to Pure4EGS, a “light” version of Pure for EGS customers. Since the implementation of our Pure4EGS instance, Scholars @ LMU, we have harvested citations from the research management system to quickly identify open access articles for inclusion in Digital Commons. Our new workflow has allowed us to focus more on other scholarly communications services—such as assistance in outreach to our research institutions and centers, transformative agreements, and open access journal management—rather than copyright and data entry work for Digital Commons @ Loyola Marymount University and Loyola Law School, our institutional repository.

Having previously relied on an annual rotation of emailed requests for CVs from faculty, we can now accelerate our ingestion of open access materials through the automated updates Pure4EGS provides. Loyola Marymount University, an R2 institution, commits to the teacher-scholar model. Scholars @ LMU has provided faculty with a visible platform to showcase their work with students, as we included all their supervised undergraduate theses, University Honors Program theses, master’s theses, and dissertations—housed in Digital Commons—in their profiles during the implementation of Scholars @ LMU.

While the metadata crosswalk between Digital Commons and Scholars @ LMU is not perfect, our small team—a single librarian, a library assistant dedicating 30% of their time, and undergraduate student assistants—has transformed ingest workflows in order to maintain a more accurate and up-to-date institutional repository and research information management system. This presentation will share strategies, challenges, and lessons learned from this transition.
